Take 4 Steps Before Outsourcing ASC Administrative Services

Edward J. Gorz, CPA, accounting manager for MedHQ, a professional employer organization and business office outsourcing service for ASCs and other providers, provides four steps ASCs should take before outsourcing or seeking assistance with administrative services.

1. An organization should develop an understanding of what it really needs and wants in order to avoid conflict and poor performance.

2. The scope of the outsourced work should be clearly understood and agreed to by all parties. Unless management services are being outsourced too, any work done by an outside firm will still need to be initiated and authorized by the ASC.

3. Trust, cooperation and communication are essential. It shouldn't feel like pulling teeth when management requests reports and other information needed to evaluate performance, nor should it feel that way when the payroll function needs the hours for the pay period in order to prepare the payroll. Everyone has a job to do and each side will need to keep up its end of the bargain. Procedures and tools should be developed to make information exchanges simple and pain free. Outsourcing companies like MedHQ offer such “coupling” tools as accessible personnel, accounting software, payroll and HR software, regular reporting and customizable reporting.

4. The provider needs to have adequate supervision and oversight over any outsourced work. Outsourcing can be a great tool to help an organization achieve its goals, but the responsibility for performance remains with the organization.
