Leverage Technology to Improve Physician Dictation & ASC Efficiency: Q&A With Randy Bishop of Surgical Notes

Randy Bishop is the COO of Surgical Notes, a technology and services provider for ambulatory surgery centers. Surgical Notes recently released a new mobile transcription app for iPhones and iPads. Mr. Bishop explains how the app works and how ambulatory surgery centers and their physicians will benefit.

Question: How does the Surgical Notes’ transcription app work?

Randy Bishop: The SN Mobile Transcription App for iPhone and iPad serves as a platform for physician dictation and allows direct access to each physician's individual scheduling information. Physicians can download the app like any other on iTunes. The app is specifically designed to be a workflow tool. Once physicians enter their credentials, they can:

•    View their individual patient schedules
•    Click on a patient name to begin dictation
•    Dictate notes for each patient case with ability to choose priority and document type Upload voice files securely through HIPAA compliant encryption methods
•    Once complete the documents are available in our web based application, SNChart and on the Ipad
•    Choose the reports tab and view and edit transcribed files
•    Sign single reports or batch sign multiple operative reports

Q: Why did Surgical Notes decide to launch the app?

RB: We created this app to be physician-driven. Mobile phones and/or tablets are very prevalent today. As a customer-focused company we listen carefully to our customer’s needs. We heard very clearly from our ASCs that quick turnaround on physician signatures for an operative note was imperative. We created this functionality to make the process mobile and seamless in hopes of decreasing A/R days.

Q: What benefits can physicians expect?

RB: With our SN mobile app, physicians can create, edit, sign and send reports on their own time and in their own environment. This technology makes the painful but necessary task of dictation easier to digest.  

In addition, by allowing physicians to access just their patient schedules; it is very personalized. Streamlining the process was one of our goals with this new technology.  

Q: How can this app benefit ambulatory surgery centers?

RB: The ability to allow physicians to sign and edit reports on the go in a mobile environment will free up time of the administrative staff.  Eliminating the task of manual signatures and scanning Op Notes back into the system will save countless hours of staff time. The SN Mobile Transcription app helps eliminate both paper documents and wasted time, which translates into both cost savings and less headaches.

Having the Op Notes signed more timely expedites and improves the billing process. Early adopters of the SN Mobile Transcription App have seen much faster turnaround times on both Op Notes and Coding.  This increased efficiency allows our ASC partners to greatly improve the revenue cycle.
